Annual General Meeting Minutes – Thursday, September 22, 2021

1. CALL TO ORDER
The meeting was called to order by the President at 7:00pm
2. CHAIRMAN’S OPENING REMARKS
The president welcomed everyone to the meeting and thanked them for their attendance. A moment of silence/reflection observed to remember members who have passed away
The president introduced and welcomed James Johnstone (guest), new Executive Director of Archery BC
3. APPROVAL OF THE MINUTES OF THE PREVIOUS AGM
The minutes have been posted on the website since September 30, 2021

4. REPORTS:
President:
- It has been a challenging year for the club with membership down, only indoor shooting, no current outdoor range to shoot any day of the week, but the club will persevere and continue.
- Slim possibility of an outdoor range in Colwood, but nothing further than an initial mention at this stage, and likely no further discussions until after municipal elections.
- 55+ Games were a big success – lots of archers, lots of fun. Post games, club’s butts, stands etc are in very good condition. Club due some funds for hosting the archery portion of the games.
- 2023 Canadian Championships coming up next August, hosted in Victoria by our club. After the tournament, club will have to decide what to do – 2 containers full of equipment, currently no outdoor range – will be a critical year in the growth of the club as we decide where & what to do post-championships. Containers will have to moved off their current property next year, possibly downsize equipment & storage.

- No reports or correspondence
Treasurer:
- Has been a year of big expenses with need to purchase new butts, targets, sights for lesson bows etc., and rent for indoor shoots throughout the summer. However, club will be receiving money from 55+ Games, and good income from upcoming lessons at Commonwealth which are fully booked.
- Complete presentation of the club’s finances were presented.
- Club’s investments and accounts are still in good shape.
Membership Director:
- Membership currently sits at 88, few new recent memberships since Sep 1
Tournament Director:
- Nothing planned at this time.
Junior Olympian Director:
- Very good year for our JOP program. Very active with 16–20 kids at each shoot with lots of kids progressing through the program, winning medals at recent provincial tournaments, and several achieving their Olympian status in the JOP program. Also some new club members via kids’ archery classes as they are interested In continuing archery via the JOP.
Equipment Director:
Webmaster:
- Website and membership portal performing well – no issues. Lots of visits to the site, people looking for info on archery, lessons, membership, and drop in shoots
Drop-in shoot coordinator
- Drop-in shoots at Commonwealth very busy and full most of the time, lots of repeat participants. This is another good source of revenue for the club
5. BUSINESS ARISING FROM THE MINUTES (if any)
- Property move – discussed In President’s report
6. NEW BUSINESS
- 2023 Canadian Championships – will need lots of help from volunteers with set up before and take down after. Not a huge commitment during the tournament as Archery Canada runs all the admin, judging etc. Planning on paying a few people – JOP members – to work during the competition picking up arrows, putting up targets, moving butts etc. Competition will be held at Westshore Rec. Encouraging members to shoot at this tournament
- No new business has been approved within the requisite 30 days, so any new business will automatically be handled by the new Board.

Billy Sanderson thanked the club for their support of his trip and participation in 3D Archery World Championships in Italy.
A round of applause for Helena Myllyniemi for her role as treasurer and for
doing such a great job with the JOP, teaching archery and encouraging our young archers.
